SCOPE OF WORK
The Procurement Officer is responsible for managing procurement processes and efficiently handling daily office tasks. The role involves providing service-oriented, safe, and effective support to refugees and employees, ensuring smooth operations and fostering a friendly office environment. The officer will initiate and oversee procurement processes in accordance with organizational procedures, ensuring compliance and timely completion.
RESPONSIBILITIES
· Develop and maintain relationships with vendors and suppliers to ensure the best pricing and quality of products and services.
· Evaluate and select suppliers based on ICMC policies and CFR.
· Prepare and process purchase orders and requisitions for materials, supplies, and equipment.
· Monitor the procurement budget and manage expenses within approved limits.
· Conduct market research to identify potential suppliers and assess market trends.
· Negotiate contracts and agreements with suppliers to secure advantageous terms.
· Ensure compliance with procurement policies and regulations, including ethical sourcing practices.
· Review and analyze all vendors/suppliers, supply, and price options.
· Create and maintain accurate procurement records and documentation for audit purposes.
· Ensure required partner contracts are signed, received, and stored.
· Establish communication with relevant official institutions and ensure necessary correspondence is conducted.
· Provide logistic support to refugee operations, including making hotel reservations, coordinating transportation, ordering meals, and scheduling contracted childcare attendees.
· Maintain effective communication with all stakeholders, including building occupants, management teams, and external contractors.
REQUIREMENTS
• University diploma as minimum education.
• Good working knowledge of MS office programs.
• Extensive experience in facility management.
• Strong negotiation, and contract management skills.
• Fluency in English for all professional documentation and communications.
• Capable of multitasking and managing complex projects in a dynamic environment.
• Conduct work with the highest level of personal and professional integrity. Must comply with and actively promote ICMC's zero tolerance policy with regard to sexual exploitation and abuse, harassment, abuse of power, fraud and corruption in all of its activities and responsibilities.
