QUALIFICATIONS AND JOB DESCRIPTION
POSITION OVERVIEW:
Executive Assistant to the Board provides full administrative support to the Board at headquarters, managing schedule and all incoming requests. The Executive Assistant is a liaison between the Board, internal units and external constituents. Coordination of executive affairs with other executive assistants and working closely under the direction of the Manager, Office of the Board.
RESPONSIBILITIES:
- Working closely and effectively with the Board and the Manager, Office of the Board to keep them well-informed of upcoming commitments and responsibilities, following up appropriately,
- Coordinating daily and weekly business tasks, organizing meetings, ensuring coordination with relevant units, and making necessary appointments,
- Scheduling and managing the executive agenda and assisting in preparation for meetings,
- Keeping the Board on task with meetings to ensure appropriately scheduled start times,
- Controlling workflow and fulfilling the requirements of the delegated private and corporate duties within the rules of confidentiality,
- Providing a bridge for smooth communication between the Board and internal units,
- Establishing and maintaining relationships with other personnel and companies,
- Managing domestic and international phone, correspondence and email traffic both in English and Turkish (Third language is preferred),
- Conducting necessary research on the requested subjects, collecting information, and preparing the requested docs, reports, and presentations.
SKILLS:- University degree in related fields, preferably graduated from the Biomedical Engineering, Bioengineering, Biology and/or Biotechnology departments of universities,
- Related work experience for 5 to 10 years, (Experience in the field of health, medical device and/or medicine is preferred.)
- Good command of English and Turkish both written and spoken (Third language is preferred.),
- Good command of the Microsoft Office and other related applications,
- Ability to work effectively,
- Excellent interpersonal, communication and presentation skills,
- Project coordination skills, with an ability to manage multiple projects simultaneously,
- Dynamic and adaptive to multi-task working,
- Self-aware and confident, ability to maintain confidentiality and excellent discretion,
- Strong coordination, communication and presentation skills,
- Having knowledge of protocol rules and international invitation experience,
- No restrictions on domestic and international travel,
- Resident in Ankara.
