Job Description

 Under the guidance and supervision of the Groups and Events Sales Manager, you will be responsible for organizing all incoming requests, provide the highest level of customized service and attention to detail to deliver exceptional service for all clients. This includes a passion for sales, effective handling of group and event inquiries, preparation of proposals, negotiation, and conversion of business, and maximizing profitability.

 Main Responsibilities:

  •  Demonstrate a comprehensive understanding of the Groups & Events Sales strategy and ensure its effective implementation.
  • Utilize persistence, initiative, and negotiation skills to secure business and improve conversion rates.
  • Maximize revenue by selling rooms and function space.
  • Conduct show rounds and meet walk-in clients.
  • Issue contracts, pro-forma invoices, and follow up on deposits and final payments.
  • Verify billings on Opera, send final invoices, and solicit feedback post-event.
  • Accurately record all activities, contacts, and accounts in CRM.
  • Prepare booking event orders (BEOs), floor plans, menus, signage, and other necessary paperwork to communicate guest needs effectively to internal and external stakeholders.
  • When required and needed, ensure timely completion of all BEOs and distribution to relevant departments, and communicate any last-minute changes to maximize efficiency and uphold standards.
  • Prepare weekly forecasts and review them with the Groups & Events Sales Manager.
  • Assist with purchase orders (POs) and commission accruals.
  • Develop Standard Operating Procedures (SOPs) and support team training initiatives.
  • Prepare month-end reports and review them with the Groups & Events Sales Manager.
  • Coordinate with external suppliers.
  • Collaborate with the operations team to ensure successful event execution.
  • Participate in weekly groups and events meetings and lead them as required.
