QUALIFICATIONS AND JOB DESCRIPTION

As a global company, we are looking for Office Administ. & Board of Directors Assistant who will be part of our team in Istanbul, on Anatolian side.

Candidates who can speak English are welcomed to apply.

Job Description

  • Answering company mainline phone and directing it accordingly
  • Providing complete administrative support to office administration activities
  • Managing and recording the supply needs
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Answering calls and routing them to the right person
  • Making travel arrangements for the Directors they work for and keeping track of their itineraries and helping them in case of need
  • Managing the Directors' calendar, including making appointments and prioritizing the most sensitive matters
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Compiling expense reports
  • Performing basic bookkeeping tasks
  • Keeping confidential information
  • Scheduling and confirming appointments and maintaining event calendars
  • Checking visitors in and direct or escort them to specific destinations and if they should be allowed to meet with the employees and managers


  • More than five years of experience as a Receptionist, Front Office Representative and Assistant
  • University graduate or high school diploma minimum
  • Fluency in English is a must (both writing and speaking)
  • Adaptable and flexible with an excellent ability to multitask
  • Self-motivated with strong communication skills
  • Knowledge of customer service best practices
  • Computer savvy with experience in data entry, word processing, and managing files
